What it is: A concise daily routine that uses your Outlook inbox, calendar, and tasks to prepare a focused, prioritized plan for the workday.

Why use it

  • Clarity: Quickly see what’s urgent and scheduled.
  • Focus: Convert emails and calendar items into actionable tasks and time blocks.
  • Efficiency: Prevent reactive work and reduce context switching.

6-step morning workflow

  1. Scan calendar (2–3 min): Note meetings, prep time, and deadlines. Identify 1–2 high-impact events.
  2. Triage inbox (5–10 min): Apply three quick actions: Reply (under 2 min), Flag/Flag for follow-up, Archive/Delete.
  3. Identify MITs (3 min): Choose 1–3 Most Important Tasks for the day and add them to Outlook Tasks or To Do.
  4. Time-block (5 min): Reserve focused blocks for MITs and meeting prep; include short breaks.
  5. Convert emails to tasks (as needed): Drag important emails to Tasks or create a task with a link to the email and a due time.
  6. Set check-in reminders (1 min): Schedule two brief check-ins (midday and end-of-day) to reassess and wrap up.

  • 00:00–02:00 Scan calendar, note 2 high-impact meetings
  • 02:00–10:00 Triage inbox (reply to 3 short messages, flag 4)
  • 10:00–13:00 Select MITs and add to To Do
  • 13:00–18:00 Time-block focus work and breaks

Tips for consistency

  • Do this at the same time every morning.
  • Keep MITs to 1–3 items.
  • Use short, specific task titles (e.g., “Draft Q2 budget slides — 60m”).
  • Decline or reschedule nonessential meetings immediately.
